POSITION PURPOSE:
The Business Management team of the Luxembourg Office is responsible for supporting the smooth running, operation and business management of the TRPLUX Management Company (the Corporate entity), its EU Branches and Luxembourg Office.
The Luxembourg office is set up in a multi-functional way with more than eight different business units represented locally each having their own functional as well as regulatory responsibilities. The purpose of the role & function is to act as a key support unit to the Luxembourg Country Head.

The Business Management team will also be tasked with enabling increased cross-departmental collaboration and communication to ensure that the Luxembourg operating model is closely aligned with the rest of the group and to leverage from existing processes and procedures, where appropriate and increase the understanding of the requirements of TRPLUX across the Company in all locations - notably EMEA but also Asia and the US where required.
Reporting directly to the Head of Business Management Luxembourg, the TRPLUX Business Management Analyst will assist in setting the Management Company Governance strategy to be agreed by the Country Head through appropriate governance in areas of business responsibility.
To fulfil this function, the TRPLUX Business Management Analyst may be involved to assist in a variety of business activities, co-ordination, support and oversight of committees, forums and reporting in support of the Management Company’s regulatory responsibilities as well as office management responsibilities including space planning (in collaboration with the local CREWS resources) and providing support for internal and external event/project related needs.
Day to day responsibilities
- To ensure the smooth running of local committee meetings and other forums, be responsible for coordinating the collection of papers from presenters, consolidating final deck, drafting agenda, taking minutes, and maintaining action log.
- Coordinate with Legal Corp Sec the organization of quarterly ManCo/SICAVs Board meetings including local presenters cross functional reporting assessment review
- Prepares and maintains up to date Management Company internal/external presentation related materials, including organization charts.
- Responsible for the maintenance of the TRPLUX Library of Procedures & Policy SharePoint including its annual update cycle with other local content owners, and proactively identify and raise suggestions for improvements.
- Responsible for collecting some key data required for certain local regulatory reports and/or mandatory surveys in regard to TRPLUX (e.g.: CSSF, STATEC, ALFI).
- Assist in the co-ordination of cross functional projects and initiatives for the Luxembourg office.
assistance in some local management responsibilities
- Assist in developing and maintaining a business plan for the Luxembourg office & Management Company, including oversight of expenses, budget and maintenance of roadmap.
- Assist in undertaking deep dive reviews on different areas of TRPLUX business operations has been identified, including outcome report review.
assistance in SOME CONDUCTING OFFICER’s responsibilities
- Assist in the TRPLUX EU Branch oversight obligation of TRPLUX including organization of some quarterly review meeting, due diligence visit, and evidence of their completion in line with local regulatory obligation.
- Coordinate and consolidate contributions, to the extent required, from multiple stakeholders (e.g. Technology, BCP Team, corporate and fund Tax Teams) to fulfill local oversight responsibilities.
PERSONAL ATTRIBUTES / SKILLS / QUALIFICATIONS:
- Strong academic background.
- Fluent in English (both verbally and in writing); Other European language skills would be a bonus
- At least 5 years' administrative experience in a business environment (ideally financial or business management).
- Strong knowledge of Outlook and Microsoft Applications.
- Effective analytical thinking and problem-solving skills (responsive, tactical solutions with bigger picture in mind)
- Detail-oriented with ability to prioritize and multi-tasks to keep work and projects moving forward
- Self-directed and able to perform assignments independently; demonstrates pro-active approach and is flexible with change.
- Ability to multitask, prioritize workload, able to work independently and resilient.
- Comfortable operating in a role with a varied complexity of tasks.
- A flexible approach to working hours, as and when business needs dictate
